Assign quote

You can assign quote to your team in 2 ways: auto and manual

A. Auto assignment

In Salesperson tab, go to Assignment settings. You have choices to set up your rules for auto assign.

  1. Auto assign to admin: This means that all new quotes will be assign to you first. In the quote list, when you click the icon , you can see you're the owner of the Quote.

  2. System randomly assign: This means that all new quotes will be assigned randomly to everyone in your team. When new order is create, assignee will be the owner of the quote. An auto confirmation email will be sent to the assignee and admin.

  3. From least busy to most busy salesperson: This means that new quote will be assigned to one salesperson who has the least quotes assigned. If there are more than one with the same least quotes assigned, system will randomly assign quote to them.

    • You can check your salesperson performance in Activity log. Go to each salesperson and check their activity down below their information.

  4. Customize quote assignments: This feature helps you assign quote to salesperson with specific conditions. For example, salesperson A will handle all requests of products A.

In Salesperson tab -> Customize quote assignments -> Add condition.

Here is the list of conditions you can set up for your assign rule:

  • Product-based are conditions related to product in request: product tag, product vendor, collection

  • Customer-based are conditions related to customer make a request:

    • Shopify Customer are customers who already in your Shopify Customer list

    • Non Shopify Customer are customers who are not in your Shopify Customer list yet

  • Quote-based are conditions related to other values in the quote request:

    • Country: Its the country in your customer shipping address. You can add more than one country in the list by separate them by comma. For example: United States, Canada, China. You have to insert the right name of the country in this country list.

    • Number of products: total number of products in the quote request

    • Quote value: Total value of quote request (unit is currency in customer request)

After setting your set of conditions, select salesperson you want to assign request to and click Save. You will see your condition in the condition list with active status. Click Save to save all your settings.

You can add maximum 3 conditions for your assignment. (including both active or inactive status)

B. Manual assignment

In Quote list, click on the icon , then you can see the list of all active salesperson.

If you are choosing Auto assign to admin, you are the owner of the new quote. After assigning to another salesperson, that one will be the new owner of the quote.

When quote is assigned to a salesperson, they will receive a email with a link to get access to the quote, not the auto confirmation email. Auto confirmation email will be sent only to the first owner of the quote.

Note: If you assign quote to one salesperson then reassign it to another one, the first one can still have access to that quote.
